Job Information

Our client is looking for a Secretary

Main responsibilities:
• Provides interface between the company and its customers;
• Ensure the flow of communication (verbal and written) between company departments and between General Manager and other employees of the company;
• Carries out reception/secretary activities and assistant to general manager, also giving support for other departments: administrative, logistics, sales;
• Answers the phone and make connections;
• Receives and distributes mail;
• Ensure filing of documents;
• Send / receive faxes and e-mails;
• Schedules meetings with clients and prepare agenda for the General Manager;
• Provides various information and make reservations on-demand (taxis, restaurants, trains, etc.).
• Multiply the documents as required;
• Receives and directs clients and visitors in the company;
• Provides protocol activities for clients and visitors;
• Organize and supervise the delivery activity;
• Registers every document entering / leaving the firm;
• Monthly prepare the salaries file (timesheets, leave records, holidays);
• Acquisition: prepare purchase orders, launch the order to supplier, follow up the orders, reception notes and deliver in the company.

• Customers orders and delivery:

a)    orders from customers at front desk

b)    delivery of the orders for the customers at front desk

• Any other task related with his job description

• Minimum 1 year experience in a similar position;
• University degree (completed or in progress);
• Very good knowledge of English written / spoken;
• PC Skills: a very good level of Word, a good level of Excel, Power Point basic level, a very good level of Outlook
• Ability to work with office equipment: telephone, fax, printer, scanner;
• Attention to detail, rigor;
• Customer oriented person;
• Dynamic and  enthusiastic person, cheerful, easily adaptable;
• Very good communication skills;
• Desire to learn and develop within the company;
• Will be an advantage: a driving license, B category and Spanish language
